The questions below do not flatter any vendor, including us. They are the ones that, asked at every stand, will show you within five minutes who has worked inside a real property and who has built a demo.
Does it actually connect to my PMS?
Ask whether the connection is two-way and real time. A tool that only reads exported data cannot complete a booking or check availability at the moment a guest is asking. Ask to see the connection running live, against your PMS by name.
Who holds my guests' data?
Ask where the data is stored, who can access it, and whether it is used to train models. If the answer is vague, that is also an answer. The obligation to the guest sits with you, not with the vendor.
What happens when the AI does not know the answer?
What matters is not how it behaves when it knows, but when it does not. A serious system admits the gap and hands over to a person along with the conversation history. A dangerous one invents an answer. Ask to try a question that is outside the script, on the spot.
Who decides what it is allowed to do?
You should be able to set the rules: what rates it quotes, what discounts it approves, when it escalates to a person, what it never touches. If those rules live with the vendor rather than in your hands, you do not control the voice of your property.
How will I measure whether it works?
Agree on two or three numbers you can see yourself from day one: share of unanswered enquiries, time to first reply, bookings completed without human involvement. Without those, you cannot judge the investment six months later.
Who has run this in a real property?
Ask to see it in a property that is actually operating, not in a slide deck. Ask what broke and how it was fixed. Hospitality software is tested at the front desk, in season, with real guests.
