Reactive vs. proactive: the critical difference

A reactive chatbot waits for the guest to ask. A proactive messaging system doesn't wait -- it knows who arrives tomorrow, who might want an upgrade, who checks out today. And it acts automatically.

In Hotelio AI, WhatsApp isn't just a response channel. It's the primary communication tool throughout the entire stay -- from booking to post-departure. And every message is based on real reservation data.

Automating the guest journey

The system sends automated messages at specific points in each guest's journey:

  • Check-in morning (10:00): Arrival reminder with any pending items (e.g., missing documents, open balance)
  • Check-in afternoon (13:00): Access instructions -- room number, WiFi password, practical information
  • After check-in: Welcome message with useful information about the area
  • During the stay: Upselling offers (late checkout, room upgrade) based on occupancy data
  • After check-out: Satisfaction survey and review request

At Sette Suites & Rooms, a 14-room hotel in Greece, this entire flow runs fully automated. Every guest receives the right messages at the right time, without anyone on the team pressing a button.

Template messages and Meta approvals

Sending proactive messages through the WhatsApp Business API isn't straightforward. Meta requires pre-approved templates for every type of message the hotel initiates.

Hotelio AI manages this process end to end:

  • Template design compliant with Meta's policies (no marketing language, clear purpose)
  • Submission and tracking of approval status
  • Dynamic variables: Guest name, room number, check-in time are populated automatically from the PMS
  • Fallback to free-form: When the guest replies, a 24-hour window opens for free conversation with AI

AI that knows the guest

When a guest sends a WhatsApp message, the AI doesn't respond blindly. Before generating a reply, it checks:

  • Reservation: Dates, room, booking channel, open balance
  • Housekeeping status: Whether the room is ready or being cleaned
  • Phone recognition: Matching the WhatsApp number to a reservation via the PMS
  • Knowledge base: Up-to-date property knowledge base loaded in real time

This means that when a guest asks "What time can I check in?", the response already includes their room number and specific access instructions -- not a generic answer.

Upselling that works

Upgrade offers aren't sent randomly. They're based on real data:

  • Room upgrade (09:00): Only if a higher-category room is available. Automated offer with upgrade price.
  • Late checkout (08:00): Only if no new arrival is expected in the same room.
  • Early check-in (18:00 previous day): Only if the room is vacant the night before.

Every offer is grounded in occupancy and housekeeping data. There is no risk of offering an upgrade to a room that isn't available.
